DOUGLAS COUNTY HISTORICAL SOCIETY

ADMINISTRATIVE COMMITTEE

April 19, 2005

Chairperson John Simmons called the Administrative Committee meeting to order at 5:05 P.M. on April 19, 2005, at the Watkins Community Museum of History. Board officers Pennie von Achen and Napoleon Crews were present. Society representatives Philip Humphrey, Clenece Hills, and Director Rebecca Phipps were also present.

The minutes of the March 15, 2005, Administrative Committee meeting were approved as written.

FINANCIAL REPORT

Piller: A faxed copy of the financial report was provided by Simmons due to Piller’s absence.

TREASURER

Piller indicated, in an earlier conversation, that he had talked with another (unnamed) board member who may be interested in taking the treasurer position. There may be other board members who may be interested. The matter will be discussed at the full board meeting.

FUNDRAISING COMMITTEE CHAIR

Simmons talked to two (unnamed) board members regarding this position. One of the board members would be willing to assistant the person selected for the position. The other board member indicated that he is interested in the position but has not made a decision to accept it. Simmons is guardedly optimistic, and we still need alternatives.

DIRECTOR’S REPORT

Phipps: Things have not been going well as a number of staff and volunteers are sick. The Louis and Clark lectures have been good but the turnout bad. Those that have attended the lectures have thoroughly enjoyed them. Lectures are held every Thursday at 7 P.M. The BBQ and Blue Grass Dinner are to be held on May 6, and Phipps needs help selling tickets. The rooster exhibit and needlework display are doing well. A quilt show is coming up May 23, through June 11.

ARCHIVES ROOM

Phipps: Nothing has changed. Helen continues to do the inventories. Individual evaluations of archive services have been excellent. Crews the previous minutes on this issue required a more extensive report than that just given. Simmons will review the minutes and put the matter on the agenda again.

OTHER BUSINESS

Simmons: We need to fill the Charles Derby position on the Administrative Committee. This committee needs to think of someone who would be a good addition to the committee and have the time to make the extra meeting. This matter needs to be on the agenda for the next board meeting.

Simmons received a solicitation for an ad in the Midland Champion. Phipps had previously told the Midland Champion no for the museum this year. The date of the next board meeting conflicts with the Bob Dole event. Phipps suggested moving the meeting to another date. Humphrey and Hills questioned whether we need to have a meeting at all. Humphrey: Motioned to cancel the April meeting and add a July meeting (19th for Adminstriative Committee and the 26th for the board). von Achen 2nd the motion. Approved unanimously. Any business that is required to be conducted in April, such as filling vacant position, will be handled by email. von Achen: History of wedding dresses tea event to be held the first Sunday in June (5th), at 2 P.M.

AGENDA FOR THE 24 MAY DCHS BOARD MEETING

Nothing was suggested as an addition to the agenda.

MEETING ADJOURNED

The meeting was adjourned at 5:50 P.M.

The next Administrative Committee meeting is Tuesday, June 19, 2005 from 5 – 7 P.M.

Respectfully submitted,

Napoleon Crews
